For those Organisations opting to use the digital RtW solution from Yoti via myaccount you will need to firstly need to build the report in Talentlink, this can be exported or emailed to a central inbox and them imported into the myaccount platform allowing bulk digital right to work checks to take place. 


  1. Login to Talentlink and navigate to the left hand menu>reporting>ad-hoc reports
  2. Ensuring you are within the ADHOC REPORTS Menu, select Create New Report

  3. Define the report details;
  • complete the name and description, 
  • language of can remain as English (UK), 
  • Number of files retained in the History should be set according to your own requirements. This option will hold up to the last 15 versions of an automatically run report within the reporting tool.
  • Report format must be updated to CSV
  • Timezone can remain as User
  • Once completed click NEXT


  1. Navigate to the candidate data subtab and select Candidate ID, First Name, Last Name and Email address
  2. Navigate to the job content subtab and selectJob Title, Organisation Name Level 1, Job Number and the new field of Digital Right to Work Check>Email Contact to Assign (If this is missing contact myjobsuport@cosla.gov.uk to have the field enabled on your Organisations job form)
  3. Navigate to the Selection Process History subtab and select the step which will be used to trigger your RTW Check, in most organisations this is Preferred Candidate Notification, but this may differ dependant on your own configuration. You will need to select both Step Submit Date and Step Due date.
  4. Click 'Next' or navigate to the Column Order tab. In order to be successfully imported into the RtW platform the column order MUST be displayed from top down as; Organisation NAme Level 1, Job Number, Job Title, Candidate ID, First Name, Last Name, Email Address, Step Submit Date, Step Due Date, Email Contact to Assign. If this order is not used or addition fields added, the import will fail.
  5. If filters are required, click 'Next' or navigate to the Filters tab. Click'Add Filter' to configure. If you are planning on auto-scheduling the report. As an example, you may want to include a filter on  Step Completion Date to allow changes in the last 24 hours to auto populate.
    You may need to include a filter on the Organisation Structure Level 2 to remove any ALEOs you do not undertake RTW Checks for.
  6.  If required, click 'Next' or navigate to the Scheduling tab and configure the automatic extraction i.e. daily/weekly
  7. If required, click 'Next' or navigate to the Sharing tab to share the report with other users, when a report is created you and only you can view it within ad-hoc reports unless shared. A report does not need to be shared with a user to automatically be distributed. 
  8. If required, click 'Next' or navigate to the Distribution tab. Here you can enter the email address/user account of anyone the report should be automatically emailed to. For example this could be a recruitment team inbox, the report would be automatically emailed at the time specified within the Scheduling tab.
  9. Finally click 'Save' or 'Save and Preview' to review a copy of your report now.

Now that you have created your report it can be exported, either from Talentlink or if you have scheduled the report to run automatically and be distributed, from your inbox. Do not edit the file in its raw format as this can corrupt the CSV and may cause an import to fail.
