23/04/2024  UPDATE

Domain keys have now been sent to all organisations

10/04/2024 We have activated Communication Centre on Live TalentLink with a default domain @myjobscotland.gov.uk

This is a temporary measure until all organisation domains are verified - we hope this will significantly reduce the number of emails going to spam folders.

Completed & Verified (Ready and waiting for deployment in live)
as of 25/04/2024

  • Aberdeenshire Council
  • Active Stirling
  • Dumfries and Galloway Council
  • Dundee and Angus College

  • Midlothian Council
  • North Ayrshire Council
  • North East Scotland College
  • Scottish Fire and Rescue Service

You can access the full TalentLink guide here however please note your organisation is not required to action any configuration within TalentLink - thy myjobscotland Team will do this.

What is the TalentLink Communication Centre (TCC)?

The TCC is configuration between your email servers and the TalentLink Recruitment Platform.

Customers can choose to verify either:

  • Top domain, e.g. @example-customer-domain-name.gov.uk, which automatically will allow to use any subdomains of the top domain (e.g. @de.example-customerdomain-name.gov.uk, @uk.examplecustomer-domain-name.gov.uk, @cn.examplecustomer-domain-name.gov.uk)
  • Or set of specific subdomains (for example: @de.example-customer-domainname.gov.uk, @uk.example-customer-domain-name.gov.uk, @cn.example-customerdomain-name.gov.uk instead of @example-customer-domain-name.gov.uk) which will allow to use only the listed domains.

Why do we need to use this?

Since implementation in 2015 we have experienced issues with candidate not receiving emails / spam filters blocking interview invites and other communications sent through TalentLink. We are now in a position to resolve some of these issues by setting up the communication centre which will allow organisation users to send communications from TalentLink from their own email address without being blocked by the recipients spam filters.

*This reduces the number of spam emails recognised from an inbox but candidate filters may still block emails*

  • The TCC will improve trust between the candidate and the recruiting organisation knowing that communications are legitimate.
  • Significantly reduce the chance of emails being blocked by spam filters and subsequently increase interview response rates.
  • Is required to use new communication functionality including SMS

From February 2024 - Seeing more undeliverable emails? This is due to changes Google and Yahoo have introduced (and comms centre will help overcome) you can read more here:- Gmail security authentication changes

How will this be implemented?

This is a huge piece of work and requires all organisations using TalentLink to work closely with us. I have summarised the steps below however if you require further information, please contact myjobsupport@cosla.gov.uk

STEP 1

We require a list of ALL domains and sub domains your organisation uses and that you may have TalentLink users set up with email addresses for. Please use the Domain sheet on this spreadsheet to complete this information. To ensure the correct information is provided we recommend that where possible the myjobscotland team liaise directly with a named person - it may be that this contact is based in your IT department rather than your recruitment team - they do not need to have access to TalentLink or knowledge of how to use the system.

STEP 2

Once we (myjobscotland Team) have received all domains we can generate the keys from TalentLink, these will be sent back to the contact provided in step 1 so they can be added to the domain records.

STEP 3

After all settings have been updated the data will be exported from our sandbox environment and imported into Live TalentLink.
